| Executive Assistant Reporting to the Chief Executive Officer (CEO), the Executive Assistant provides diverse and advanced level administrative support to the office of the CEO by effective planning, organizing and implementing administrative duties. SPECIFIC RESPONSIBILITIES WILL INCLUDE: • Managing the CEO’s calendar to align with the needs of our customers' and the needs of the business; balancing demands from others with adequate "work" time • Effectively managing and prioritizing communications and incoming calls as required; handling all correspondence in a timely and effective manner • Drafting and/or proofreading internal and external documents and correspondence • Coordinating the preparation of agendas and supporting materials for meetings as well as taking and preparing minutes, ensuring timelines are met • Assisting with the creation of PowerPoint presentations • Carrying out basic research and preparation of reports • Maintaining organized filing systems, both online and in the office • Coordinating and booking travel arrangements • Preparing and submitting expense reports • Planning and executing company functions and events • Other duties as required The INDIVIDUAL and QUALIFICATIONS: • Minimum of 5 years experience in a similar position providing administrative support to a Senior Management/Executive position • Excellent computer literacy (MS Word, PowerPoint, Excel, Outlook) • Strong verbal and written communications skills • Superior organization and administrative skills • Highly professional demeanor, suitable for interaction with senior customer and internal stakeholders • Strong self-starter, able to effectively prioritize key tasks and deliverables with limited day-to-day direction • Solution-oriented thinker, able to resolve conflicting demands in a timely and productive manner • Positive attitude and respectful approach to others • Ability to work with and manage highly confidential information • Pre-employment medical/substance test COMPENSATION: A competitive salary including benefits and matching RRSP program.
